Result Analysis

SAGE -System for Automated Governance of Examinations

The efficiency and exactitude in carrying out the administrative work associated with the conduct of examinations hold a University in high esteem. This is more relevant in the case of Universities which have large number of colleges affiliated to them. Though many IT firms have come forward with digital solutions for the governance part of University Examinations, most of them failed to prove well-tailored to the user's requirements. Moreover, the fast changing regulations and schemes increase the frequency of software maintenance with its own cost implications. There are mainly two reasons for this (i) as a marketing strategy, the IT firms try to provide solutions which are exactly similar to the manual way of doing the work (ii) design of new models protecting academic interests can be perfected only with the involvement and whole-hearted support of academicians.


A System for Automated Governance of Examinations (SAGE) has been developed by the Computer Centre of University of Kerala for the complete automation of all stages of the administrative part of examinations. The procedure for the governance of examinations has been thoroughly revamped and simplified, based on a model, which numerically represents all the examination-related events of this century. New procedures for all the stages from course design to issue of degree certificates have been prescribed and digital solutions provided. Using the new business model, the system ensures exactitude and timeliness in examination governance. The contributions of IT during the last two decades have been fully utilized for all stages viz. the realization of on-line registration to on-line delivery of mark sheets. The provision given for recruiting agencies to verify the genuineness of University degrees on internet and the instantaneous progress reports made available to the students are the features of this system. All the sections of the examination wing have been made "pen less". Statistically significant observations on awarding internal assessment marks are also made. The solution is so general that it can be used for any course by any University. The system has been in use for the last 5 years for the IT-enabling of all the major examinations of University of Kerala. The number of grievances coming to the examination sections has been drastically brought down. The labour productivity has increased to nearly 3 times after the installation of this system.

 

Characteristics of SAGE
SAGE is not a case of mere automation.
All functions from registration to issuance of degree certificates re-modeled before IT enabling.
The same format of application form can be used by candidates appearing for all the examinations under this
   University. Cost of printing, maintaining and distributing different types of forms saved.
Each examination conducted by the University will be uniquely identified by a code. This will make the    communication between candidates and university office effective.
Hall Tickets of about 5000 candidates can be generated with a single day's data entry work in all     semesters/years of a Course except the first.
A statement with the number of question papers to be sent to each college for each subject is given by the    computer
Each page of the result book is generated by SAGE , no manual typewriting of results is needed. The result    pages directly converted to the html format for web publishing.
All marks of the the previous semesters are available on-line and hence tabulation of marks in the final    semester is easier
Delay in announcing revaluation results brought down to 3-4 months. Scrutiny results on the same day   itself

All the documents / communications relevant to the examination system are generated by the system. It means that no computerized island is being maintained in the office. In other words, the examination office is being made penless. SAGE provides the basic transaction processing system, which is the starting point for building a full-fledged Executive Information System. The critical information needed for planning and decision-making can be made available by running appropriate queries. SAGE is designed with the objective of finally integrating with the other computerized sections of the University. The design is so modular that the software routines used for SAGE can be used for seemingly a totally different software. Kerala University, the first in the state to fully automate important wings like Post Graduate & B. Tech Examinations. Results of 34 PG courses brought out on the same day in the 25 the month for the first time in the history of Kerala University

Improvement in productivity

More than 90% of the students under computerized scheme get all the services from the University and pass out even without knowing about where the University office is situated. In fact, we have drastically brought down the number of visitors in the examination wing by making 'IT reach the people'.

ATI-Any Time Information System

Any student of Kerala University under computerized system can get any examination-related information on internet at any time. The Any Time Information System gives the complete track record of students right from the time of joining the course till the time of information seeking. Exam Results with subject-wise marks for each semester will be available on the web for many years. Changes in marks due to revaluation or reappearance will be effected dynamically by a web application program without human involvement. The website http://kucc.keralauniversity.edu enables students to communicate back to the University by giving suggestions for modification, complaints etc. The complaints lodged online by the students are verified and remedial actions are taken then and there. This system is a natural output of SAGE , the fully automated system for the governance of examinations. As the system updates the consolidated result status of every student after the announcement of results of each reappearance or revaluation, the consolidation of results at the end of the course (which was a Herculean task consuming 3 to 4 weeks in the manual system) could be done within seconds. Backtracking strategy was employed in the design as marks awarded in the successive reappearances become invalid when revaluation results

 Official Transcript and Mark lists are available on the internet

Official transcripts of marks with photographs of all candidates are made available on the Website within seconds after the announcement of final semester results. The manual system took nearly two months to prepare an official transcript of a candidate. Similarly, mark lists corresponding to each semester are also made available on the internet in a printable format immediately after the respective results are announced

 Recruiting agencies can verify genuineness of degrees certificates

Recruiting agencies can verify the genuineness of degrees through Internet using our ATI (Any Time Information System). They need enter only Register Number (available on the degree certificates) to get the name, photograph, date of birth , semester wise mark details, whether the candidate had failed in any exam, percentage score in each paper etc. on-line.

Timely announcement of revaluation results

Revaluation results are announced within 45 days. This avoids unnecessary appearance in subsequent chances. Also, full list of rank holders is published along with the final semester results, as revaluation in respect of all previous semesters is completed in time. Timely publication of revaluation results relieves thousands of students of the burden of unnecessary reappearances. As UGC financially supports the higher studies of rank holders and timely submission of rank certificates is essential, publishing of revaluation results in time is of great help to financially backward meritorious students.

Interactive Web site

Candidates under the computerized system can communicate with University through the University web portal. About 50,000 students have been assigned passwords so far. Their complaints (if any) regarding non-receipts of hall tickets, delay in announcing revaluation results, delay in receiving mark list etc. can be communicated to the University through the web portal.


SAME-System for Automated Monitoring of Examinations
Introduction
The University Computer Centre has designed a system for the automated scheduling and monitoring of examinations. The software being developed by the Computer Centre will automatically schedule examinations. It will also assist the examination wing in appointing the question paper setters and examiners for various examinations conducted by the University. It can also automate the functions of revaluation section of the examination wing. The successful installation of the system will lessen the time lag and other difficulties in announcing examination results. Improvement in quality of valuation is the main objective of this project.

Present Scenario
      •  The Examination Wing of the University organizes and conducts all examinations.
        The scheduling of about 5,000 examinations per year is done manually.
      •  Prepares a panel of question paper setters. There is difficulty in finding suitable teachers for setting                  question papers. Some eligible experts are overlooked. Sometimes experts in the relevant area cannot be           identified for preparing question papers.
       Examiners are appointed manually for each subject considering their availability and expertise. Some           teachers may not be assigned valuation work while some others are overloaded since there exists no           method to distribute the work uniformly. It is often difficult to ensure that the scripts are evaluated by           experts in the  respective areas.
        The delay in identifying examiners may ultimately lead to the delay in the publishing of results.
        Non-uniformity in evaluation leads to wide variation in marks awarded
      •  In the revaluation section, considerable amount of time is spent for identifying the original examiner of           the scripts. Also, wide variation in valuation marks makes revaluation a never ending process
       A large number of communications have to be sent to question papers setters and examiners. The             preparation of these letters and sending them by post consume considerable time.

SWEET-System for Web-enabled Exam Transactions
University Computer Centre has developed a new software for facilitating web-enabled transactions and communications between University and affiliated colleges. The system is named, SWEET (System for Web- enabled Exam Transactions).
The new web portal accessible from the home page of University site has the URL, htpp://keralauniversity.edu.

On-line Pre-registration
Software for enrolling students to the University information system immediately after they get admitted has been developed. The students themselves will furnish all the details including photograph and sample signature. These details will be verified by their teachers and Heads of the departments before being accepted by University database.

Data Mining and Management Information System

The information, which is derivable from tabulated marks and needed for decision making at top management level is now made available through our web based system. This module helps in evaluating and comparing the performance of colleges in terms of effectiveness in internal assessment, trend in variation of pass percentages, course-wise pass percentages over years etc. In fact, it is based on a data warehouse having all the scores of all appearances of each student who appeared for examinations since 2002.The average of internal assessment marks awarded to a batch of students in a paper can be compared to the corresponding figure in respect of all other colleges offering the same branch of study. Similar comparison of external assessment marks also is facilitated. More than 500 web pages facilitating comparison of performance, subject wise or branch wise, are added every year by a web program. About one hundred charts showing results of statistical analysis carried out for comparing results of internal and external assessments in respect of each branch of study are added every year. About 3.5 lakhs page-full of information is available in the site at present. The tool also helps analyzing the performance of self financing colleges in comparison to government or aided colleges.


DESK- Digitized Enquiry System Kerala
Research supervisors under University of Kerala can file all the relevant information related to research to the website using this software. Access is password restricted. They can update the information as and when required.
This system gives the following facilities/information through the web site in interactive mode.

      • Details of research work going on in the University with names of topic, research scholar, supervisor         etc.are made accessible to the academic community.
      • Number and names of Research Guides in each faculty and their areas of interest
     • Details of degrees of other Universities recognized by University of Kerala
     • Nature and conditions of recognition (whether for higher studies only , for appointment only etc)
     • Fee details, last dates, procedure for applying etc. for various services from the University
     • Procedure for getting certificates, address to which applications are to be sent, fee amount etc.

HRM -Human Resource Management System

Development of a Human Resource Management System was almost completed during 2008. The system facilitates online presentation of salary bills, online printing of pay slips etc. along with provisions for other essential outputs related to a payroll system. The hierarchical organization structure of the University has been linked to the HRM system in such a way that responsibilities and authorities of each individual employee are well defined and online transfer and postings are enabled. In fact this is designed as one of the modules of the E-governance System of the University.

e-Procurement

This system facilitates on-line submission of quotations, online preparation of comparative statements and online issue of purchase orders. Firms in the vendors list of the University are given passwords to access our portal. The users of the system are the departments/sections which initiate purchase process, the computer centre which offers remarks on specifications, the administration wing which invites and processes quotations, the suppliers who submit quotations, the administration wing which prepare comparative statement, the finance wing which endorses the purchase and finally the section which issue the purchase orders and receive the items.


SASE-Semi Automated System for Examinations

SAGE is fully automated system build on a numeric model, designed as a result of the business process reengineering of the examination wing of the University. But there are courses for which the scope of business process reengineering is not attempted either due to number of students being less, or due to other reasons. A semi automated system has been developed for such courses. The major differences between SAGE and Semi automated system are given below.

Consolidation of results

A System has been designed for the automated processing of applications for registration received by the office of the Institute of Distance Education. As part of reengineering a single format for submitting applications has been introduced.
Irrespective of the courses applied for.

Finance Management System.

A system has been developed by in house by the computer centre to automate the book keeping process. Related to collection of revenue of all types of the university. One module of the system runs in Cash Counter which receives cash only. The 2nd module runs in the DD unit where demand drafts are processed. The digital data arriving from Friend's counters are processed and the main revenue data base is updated. The system facilitates online verification of remittance details of all categories.
The following are the reports generated by finance management system.

A module similar to the one installed in the cash counter at Palayam , is used in the Kariyavattom campus also. A module for preparing the PF credit cards of University employees has been developed as part of finance management system. This is being run the University or computer centre itself.

Automated tracking of University office files

A system has been developed in house by University Computer Centre for the automated tracking of files. All the files, received/applications received in the registrar's office are given bar coded numbers. All the sections to which these files, have to be sent are also uniquely numbered. When a file is sent/received to from any of the sections, the information is sent to the Computer memory with the help of a barcode reader. The head of a section can find out online. The name of the section, where any given file is presently available. The system also gives information about. The delay caused in each section for the processing of the file. It also gives the details of files which are pending in each section at any point of time. The gives a search option using which system will accept the 'subject' of the file, and give out the present status. Similarly details of files received with in specified time limits, will also be displayed.

System for automated admission process

Computer Centre has developed a system for automating the processing of applications, submitted by students selecting admission to a courses. The system generates rank list considering reservation rules applicable different categories. The system is being used for selecting candidates BEd colleges, run by University of Kerala.

IVRS-INTERACTIVE VOICE RESPONSE SYSTEM


Interactive Voice Response System of the University is one of the first of its kind among the Indian Universities. The students are now able to dial their register number at home and retrieve details of results including subject wise marks awarded to them. The details of courses, colleges, procedure for applying, last dates for applying for each examination, last date for applying for revaluation, fee for each type of services etc, are being made available.

Result Analysis

There are five main links for analyzing results.
1. Result of a student can be analyzed by the student himself by clicking on result link under student menu.
2. Result of an individual student can be analyzed by his teachers by clicking on the individual result link     under college menu.
3. Results of a batch of students can be seen by their teachers by clicking in results under college menu.
4. Comparison of internal assessment mark awarded for a paper in one college can be compared with that of     another college by clicking on the link ESA CA Comparison under college menu
